The five systems every childcare school runs on

Whether they're written down or not, your school already runs on five systems. Here's how to see them — and why writing them down changes everything.

Every childcare school — from a single classroom to a multi-site operation — runs on the same five systems: Marketing, Enrollment, Customer Service, Operations, and Finance. The difference between a school that feels chaotic and one that feels calm usually isn't effort. It's whether those systems live in one person's head or on paper.

Marketing is how families find you and what they believe about you before they ever call. Enrollment is what happens between that first inquiry and a signed registration. Customer Service is the daily experience families have once they're in. Operations is everything your team does repeatedly — opening, closing, meals, transitions, safety. Finance is knowing your numbers well enough to make decisions with confidence.

How to write an SOP your team will actually follow

Most procedures fail because they're written for a binder, not for a person. Eight sections make the difference.

A standard operating procedure only works if a real person can pick it up on a hard Tuesday and do the right thing. That means an SOP is more than a list of steps.

Start with Purpose — one or two sentences on why this procedure matters. People follow steps better when they know what they're protecting. Then write the Steps themselves: numbered, in order, short enough to scan.

The sections most SOPs skip are the ones that make them stick. Training: how does a new team member learn this — shadowing, a checklist, a sign-off? Observation: how does a leader verify it's happening, and how often? When a Step Is Missed: what coaching happens, and how is it documented? Standard: what does 'done right' look like, in observable terms? Measure: how is it tracked over time? And Exceptions: when is it okay to do it differently?

A 30-minute marketing audit for your school

Performance: do you know where your last ten enrollments actually came from?

Score each area honestly. Anything Weak becomes a project; anything Inconsistent becomes a procedure. Repeat the audit quarterly — marketing drifts, and the schools that stay full are the ones that check.
